An office cleaning contract is a fixed monthly fee for a fixed, scheduled scope: a set number of visits per month, a set crew size, a set session length, and a written task list. It is not an hourly hire, and it is not an open-ended promise to do whatever needs doing on the day. A standard per-visit scope covers the things that degrade daily: bins emptied and relined, washrooms cleaned, sanitised and checked for restocking, pantry counters and sink washed down, meeting rooms reset, desk and shared table surfaces wiped where they are clear, floors vacuumed and mopped, glass doors and high-touch points spot-cleaned, and reception left presentable. Crews work to a checklist, not to a mood.
What is not in a standard contract by default: carpet extraction, external or facade window cleaning, post-renovation debris removal, disinfection fogging, high-level work needing ladders or scaffolding, and pantry consumable purchasing. Why do per-square-foot office cleaning quotes mislead?
Per-square-foot pricing sounds precise and objective. It is neither. Floor area is a weak predictor of cleaning labour, because the work is concentrated in a small fraction of the area: washrooms, pantry, bins, meeting rooms and high-touch points. Two offices of identical size can differ by a factor of two in real labour.
Take two 2,000 sq ft units as an illustration. A design studio with 6 people, one washroom and a coffee machine is a fundamentally lighter job than a sales floor with 30 people, two washroom sets, a hot-food pantry and daily client walk-ins. Same area. Very different bin volume, washroom load and reset time. A per-sqft formula charges them the same, and the vendor then has to cut corners on whichever one loses money.
Per-sqft quotes also hide the two variables that actually decide the price: frequency and crew size. A rate expressed in cents per square foot tells you nothing about whether you are getting one cleaner twice a week or two cleaners five times a week, which is the difference between two completely different services.

Two things move it downward: committing to a schedule rather than booking ad-hoc, and prepaying a block rather than paying month to month. Both are shown explicitly in the table so you can see the difference rather than being told it exists.
How often should your office be cleaned, by headcount and office type?
Frequency is the single biggest cost lever, so set it deliberately. As a working rule: under 10 staff with a light pantry – fortnightly or weekly. 10 to 30 staff – weekly, moving to twice weekly if there are two washroom sets or daily client visits. 30 or more staff, or any office where food is prepared and eaten on site – three times weekly to daily.
Office type shifts the answer as much as headcount. Professional services offices with private washrooms inside the unit need higher washroom frequency than open-plan tech offices using shared building toilets. How do team deployments work for larger offices and one-off jobs?
When a job is too big for a single cleaner in a single session – an office move, a large floor reset, a landlord handover, a heavy quarterly – we quote it as a team deployment: a stated number of cleaners for a stated number of hours, priced as one line.
The published tiers are 2 cleaners x 4 hours at $450*, 3 cleaners x 4 hours at $550*, and 3 cleaners x 8 hours at $950*. If you want to compare them like for like, divide each price by its cleaner-hours: $450 ÷ 8 = about $56, $550 ÷ 12 = about $46, $950 ÷ 24 = about $40. The per-hour figure improves as the deployment gets larger because mobilisation, transport and supervision are spread across more productive hours. That is the entire reason the biggest tier looks cheapest per hour, and it is worth knowing when you are deciding whether to split a job across two visits or do it in one.
Team deployments are also how you compress downtime. A 3 x 8 job finishes in one working day what a single cleaner would spread across a fortnight, which matters enormously when the office has to be usable on Monday morning or a lease handover date is fixed. First, your building’s after-hours access rules – some MCSTs and building managements require registered contractors, escorted access, or lift bookings after a certain hour. Second, air-conditioning: floors dry slowly and washrooms stay humid when the building air-con is off, so we sequence wet work accordingly and leave mopped areas last.

Scope – the per-visit task list and the periodic list with stated frequencies. Crew size – how many cleaners attend, not just how many hours are billed. Session length – the attendance window, and what happens if the work overruns. Schedule – which days, which times, and how many visits per month, stated as a number rather than ‘regularly’.
Supplies – who provides equipment, chemicals and consumables. Replacement cover – what happens when your regular cleaner is on leave or medical leave, and whether the replacement is briefed on your site. Insurance – public liability cover and whether workers are properly covered. How do you handle building access, security passes and confidentiality?
Access is the operational detail that decides whether an office contract runs smoothly or generates weekly phone calls. We set it up once, at onboarding, and document it. The three common models are key or access card held by the crew, escorted access by your staff or building security, and keypad or smart lock with a dedicated code that you can revoke at any time.
For buildings that require contractor registration, we supply the details your management office needs – company registration, insurance, worker identification – and we register named crew rather than rotating unfamiliar faces through your reception. Where lift bookings, loading bay slots or after-hours permits apply, we work inside your building’s rules rather than around them.
On confidentiality: crews are briefed that paper on desks, whiteboards and screens are not touched. Clear-desk items are wiped; documents are not moved, stacked or read.
